Campus Reunion Media Services Requests:
Media services requests are available in your class bin.
Class Reunions: A media person is on call and will trouble shoot issues or send media staff over to help on Saturday night. Please call the Media Services phone at 269-337-7138 or call me at 269-599-6242 and I will call the media person.
Reunion Host Checklist:
- Please pick up any remaining class packets for your reunion at the registration desk.
- Please arrive to your reunion celebration location 30 minutes before the event starts and hang a sign on the door to welcome guests and the No Alcohol Beyond this Point signs (if your reunion celebration is on campus).
- Please greet guests, take payments from anyone who may still owe money for dinner (credit cards only – Visa, Master card, American Express, Discover), and hand out drink tokens (if applicable).
- Please introduce yourself to the Reunion Chair(s), Reunion Committee (if applicable), AAEB member(s) and Student Ambassador (if applicable).
- Please introduce yourself to the lead wait staff person for catering at your event.
- A copy of the menu will be available before the event. Please check to make sure that the food and beverages being offered are correct according to the menu. Please call Christy or Kayleigh if there are any issues.
- Please make sure people with dietary issues are being taken care of and they receive the correct menu/food accommodations. Please call Christy or Kayleigh if there are any issues.
- At the end of the evening please collect any leftover packets, drink tokens at the bar (if applicable) and information pertinent to K and bring them back to the Office of Alumni Engagement (room 100C) by Tuesday.
- Please stay at your reunion until all of the guests have left the space/building on campus and text Christy (269-599-6242) at the end of the evening.
- Please check in with the lead wait staff person before leaving the reunion at the end of the night.

How long do reunions last?
Saturday evening reunions typically last around 3 hours. We ask our campus caterers to give a last call at around 9:30 p.m. if the reunion starts at 6:30 p.m. Off campus venues where we have a full buyout typically serve drinks until closing (which can vary depending on the venue).
What do I do if I arrive to the room and there aren’t enough chairs or tables for guests?
Talk to food service first and see if there are extra tables and chairs available for them to set out as well as table coverings. If it isn’t resolved, please call Christy right away!
What do I do if I am running low on beer and wine at my reunion?
Ask the bartender if there is more beer/wine available to set out for the class and call Christy right away if it isn’t resolved. It is imperative that we accommodate our guests up until the very end of the reunion.
Can guests take their beverages outside of the buildings on campus?
Alcohol is not permitted outside of the reunion spaces on campus. Guests cannot leave the Banquet Room or the Stone Room with alcohol and signs provided by OAE should be posted. Spaces with patios like the Light Fine Arts Building, Arcus, Balch Playhouse Lobby and the Hornets Suite serve as an extension of the reunion space. We ask that signs provided by OAE are posted for guests to stay within the patio space.
What do I do it the class is running low on food?
Talk to food service about this issue, see if there is more food to set out (especially for the classes with heavy appetizers) and call Christy right away if it isn’t resolved.
What do I do if I am having media issues at my reunion on campus?
Please call media services at 269-337-7138. If it isn’t resolved, please call Christy right away.
What do I do if someone falls or if there is some other emergency on campus?
Call 911 right away and then call Campus Safety at 269-337-7321. If an accident doesn’t warrant a call to 911 you still need to call Campus Safety and they will determine if an accident report should be filled out and filed with the College. You should then call Christy to help with this process.
